What Makes Government & Public Sector Different

Government disposal is governed by two things at once, and buyers who only understand one of them cause problems. The first is data: entity records, citizen and resident information, correspondence and in some cases material with a security classification. The second, which is just as unforgiving in practice, is asset accounting. Public sector equipment carries an asset tag, sits on a fixed asset register, and has to be formally written off with evidence. A buyer who returns a weight ticket has handed your finance team a reconciliation problem that will take longer to resolve than the disposal took.

We inventory at tag and serial level, on site, in front of your representative, and both parties sign the register before anything is loaded. The document that comes back reconciles line for line against the register you already hold, which is what a write-off submission and an internal audit both need.

Procurement adds a third layer. Government engagements typically require a tender or quotation process, vendor registration, insurance evidence and defined liability terms, and the disposal itself may need to be witnessed by a committee. We work inside that process rather than around it, and we would rather spend two weeks on documentation upfront than have a collection halted at the gate.

How We Work With Government & Public Sector Clients

A government engagement runs through documentation before it runs through logistics. We complete vendor registration, supply trade licence, insurance and liability evidence, and agree the destruction method and witness arrangements in writing. On the day, inventory is captured against the asset tag and the serial number together, and the register is signed by both parties on site before loading. Where a disposal committee is required to witness destruction, we schedule around their availability and destroy on site or host the witnesses at our facility. Classified or sensitive-marking material is destroyed physically rather than sanitised, because a write-once assurance is easier to evidence than a wipe. The final pack is issued in a form suitable for direct attachment to a write-off submission.

Can your documentation be attached directly to an asset write-off submission?

Our disposal committee must witness the destruction. Is that possible?

Yes. We schedule destruction around committee availability, either on your premises or with witnesses attending our facility. The certificate records who witnessed it, the method and the date alongside each serial number.

We hold material with a security classification. How is that treated?

Physically destroyed rather than sanitised. A shredded platter is far easier to evidence than a successful overwrite, and for classified material the burden of proof is what matters. Flag classification at scoping so the method is agreed before the collection, not on the day.

What vendor documentation do you provide for registration?

Trade licence, insurance certificates, liability terms, method statements and references. Send us your registration pack and we will complete it — this stage takes longer than the collection itself and is worth starting early.

Do we get paid for the equipment, or is this a cost?

For most public sector lots there is genuine recovery value and the entity is paid, which is normally recorded against the write-off. Where a lot is predominantly obsolete low-value material, we say so plainly rather than quoting a token figure and recovering it elsewhere.
