What happens to student data when a school replaces its computers?
Data Sentry treats every drive from a school or university as holding personal data concerning minors — the most sensitive category we handle. Drives are verifiably erased or physically destroyed, certified per serial number, and never assumed blank because a machine was reimaged. Collections are scheduled around term breaks and exam periods.
What Makes Education Different
Education is the sector where disposal volume arrives all at once. A school does not retire six laptops in March; it replaces an entire computer lab in the summer break, or a university refreshes a faculty in a single procurement cycle and a hundred and fifty tagged machines need to be gone before term starts. The whole engagement is therefore governed by a calendar that is fixed and unforgiving.
What is on those machines is routinely underestimated. Student records, assessment data, safeguarding notes, parent contact details, medical and dietary information, staff HR files, and on university systems research data that may belong to a funder rather than the institution. Under the UAE PDPL that is personal data, and where it concerns minors it deserves considerably more care than a lab PC usually receives on its way out.
There is also an asset accounting layer. Institutions tag their equipment and run fixed asset registers, and a bursar or finance office needs each tag accounted for. We inventory at tag and serial level and hand back a document that reconciles rather than a weight ticket that does not.

How We Work With Education Clients
Education collections are booked against your academic calendar first and everything else second. Term breaks, exam periods and handover dates are fixed points, so we build the schedule backwards from them and confirm the date well in advance rather than promising flexibility we cannot deliver in a peak week. On site we inventory at tag and serial level with your representative present and both parties sign before loading. Lab machines are handled as a block: drives removed and processed under the data destruction workflow, chassis and monitors routed to recycling or remarketing depending on condition. Where equipment still has working life — and a three-year-old lab fleet usually does — remarketing returns materially more than scrap, which for a school or a bursar is the difference between a disposal cost and a contribution to the next refresh.

Education: Questions We Get Asked
Can you clear a computer lab during the summer break?
Term breaks are when most of our education work happens. Book early — the summer window is the busiest period in this sector and lift access, campus security and our own schedule all compress into the same few weeks.
Our lab machines are only three years old. Is scrapping them the right call?
Usually not. A three-year-old fleet in working condition is worth materially more remarketed than recycled, and the recovery can offset the next refresh. We wipe to a verified standard, issue the erasure record, and the machines are resold rather than shredded. We will tell you which route pays more once we see the specification.
How is student data handled, particularly for minors?
Every drive is treated as holding personal data concerning minors, which is the most sensitive category we handle. Drives are either verifiably erased with a per-device record or physically destroyed, and the certificate names each serial. Nothing is assumed to be blank because a machine was reimaged.
We tag all our equipment. Will your paperwork match our register?
Yes. We capture the asset tag alongside the serial number and both parties sign the register on site, so the document reconciles line for line with the register your finance office holds.
What about research data with funder conditions attached?
Flag it at scoping. Where a funder or ethics committee has imposed specific disposal conditions we destroy physically and document to that standard rather than applying our default. Those conditions sit on top of national law, not underneath it.
